How often the calendar syncs (and how to sync now)

Once you've connected a calendar feed, CommunitySync keeps it up to date for you — you keep editing events in your own calendar tool, and the member portal follows. This guide covers how often that happens and how to refresh on demand.

Automatic hourly sync

  1. Every connected feed re-imports once an hour, on its own — no action needed.
  2. Each sync pulls in new events, edits, cancellations, recurrences, and categories from the source calendar.
  3. Because it runs hourly, a change you make in Google Calendar or Outlook typically appears in the member portal within the hour.

Force an immediate sync

When you've just added or changed an event and don't want to wait for the next hourly run:

  1. Open your community's Admin Panel and go to Calendar → Feeds & categories.
  2. Find the feed you want to refresh.
  3. Click the Sync now icon on that feed.
  4. The events re-import immediately and the imported count updates.

Check a feed's sync health

The Feeds panel shows the status of each connection so you can spot a broken feed before members do:

  1. Each feed displays its last successful sync time.
  2. If a feed errors (for example, the source link changed or access was revoked), it's flagged there — re-open the feed, paste a fresh address, and save to reconnect.

Troubleshooting

I clicked Sync now but a new event still isn't showing

The source calendar itself can lag. Google and Outlook take a few minutes to publish changes to their feed addresses, so a very recent edit may not be in the feed yet. Wait a couple of minutes and click Sync now again.

An event I deleted is still in the portal

Deletions come through on the next sync just like additions. Click Sync now, or wait for the hourly run, and the removed event will drop off.

The whole feed stopped updating

Check the feed's status in Calendar → Feeds & categories. If it shows an error, the source address likely changed or sharing was turned off — get a fresh iCal/ICS link from the source calendar and update the feed. See the Google and Apple calendar guides for where to find that address.
